Which TECHNOLOGY to use when working from home

There are a lot of programs you could use when working from home… which ones are the right ones? This page tells you which programs you SHOULD — and SHOULDN’T — use for each of the following activities:


  • Accessing the network
  • Teleconferencing
  • Chatting (messaging)
  • File sharing
  • Collaborating on documents
  • Scanning
  • Set up equipment for remote work

Accessing the Network 

IMPRIVATA ID 

  • When you're working remotely, in order to access the Carilion network and applications, you need to install the IMPRIVATA ID app on your mobile device.

Best Practices for Virtual meetings

When you conduct or attend virtual meetings, be sure to follow these best practices

 

MICROSOFT TEAMS

Verizon Conferencing

  • Use this option as a backup if Teams and WebEx are not available.
  • You can only do voice conferencing.
  • This option requires setup including a leader and participant pin.
  • Contact TSC for more information about Verizon Conferencing.

Chat (messaging)

MICROSOFT TEAMS

  • You can conduct individual or group chats.
  • You can attach pictures and FILES.
  • Quickly switch to audio chat or screen sharing.
  • You can see if team members are available, busy, or away.
  • It’s only open to Carilion employees so more secure.
  • It’s available on phones, devices, and computers.

PERFECTSERVE

  • This application is designed for sending messages in a clinical setting.
  • It’s recommended for discussing PHI because it is more secure.
  • Most clinical staff have enrolled and are using it today.

What NOT to use

Don't use TEXTING

  • When communicating for Carilion work purposes, do not send text messages (also known as SMS messaging).
  • It is not a secure platform.

Collaborating on documents

 MICROSOFT TEAMS

  • Teams enables multiple people to collaborate on the same document simultaneously.
  • Is available as an app on mobile and desktop as well as through a web browser

Sharing files

 MICROSOFT TEAMS

  • Documents are stored in “Teams Sites” so you can grant access to specific people.
  • It’s secure - available only to Carilion employees.
  • Is available as an app on mobile and desktop, as well as through a web browser.

MICROSOFT ONEDRIVE

  • OneDrive is a good sharing solution for personal files that need to be reviewed by others.
  • OneDrive files may be shared with others, including read-only or edit.
  • Available only to Carilion employees.
  • Is available as an app on mobile and desktop, as well as through a web browser.

Scanning documents

MICROSOFT OFFICE LENS

  • Microsoft Office Lens is an app which enables you to scan documents using your smart phone.
  • Built-in integration with Microsoft Office.
  • Available only to Carilion employees.

Faxing

OUTLOOK

  • Outlook enables you to send a document or picture as a fax using just as you might send an email.
    Here’s how:
  1. Compose your message as an email.
    The subject and the body will appear on the fax cover sheet.
     
  2. In the recipient (To:) field, enter the 10-digit fax number and @fax.carilionclinic.org.
    For example, 15405551212@fax.carilionclinic.org.
     
  3. To include a document in the fax (.doc, pdf), attach it to the email.
  • You’ll receive an email confirmation indicating success or failure.

Telemedicine

AMWELL

  • Amwell is the telemedicine platform for all Carilion providers and caregivers.
  • It is fully supported by TSG and Health Analytics.

What NOT to use for Telemedicine

Don't use... ZOOM  |  FACETIME  |  DOXY.ME  

  • These applications have not been validated or tested for secure use.
  • There are security, privacy, and legal issues with these applications as well as possible infiltration by foreign governments. These applications are not recommended or supported by Technology Services Group or Health Analytics.
